We’re looking for a Senior Event & Marketing Coordinator based in San Francisco to help us manage this growing roster of events.

The Senior Event & Marketing Coordinator position requires a highly organized and experienced self-starter who is project-oriented and can work on multiple events and tasks simultaneously and efficiently. The Senior Event & Marketing Coordinator is responsible for the logistical management of events, focusing on conferences and private dinners, though they may work on other events & support the Director of Events as needed.

The Senior Event & Marketing Coordinator handles all logistical details for events, including catering, meeting-room setup, A/V requirements, pre- and post-event duties, and sponsor support. They work as a team with the Director of Events, and the Event Coordinator to execute all VentureBeat events.

Event Planning and Production

  • Handle pre-event details such as venue research, site selection, and venue booking. Some contract negotiation where applicable.
  • Primary manager of all event websites in WordPress (uploading speaker bios, headshots, session descriptions, and agenda updates) and responsible for updating content in a timely manner.
  • Serve as liaison with vendors and event contractors on event-related matters.
  • Work with audio visual production team.
  • Handle onsite event details such as meeting room setup, overseeing registration team, and helping to manage event flow and onsite sponsor management. Secure and manage volunteers on day of the event.
  • Create event signage plans.
  • Assist with managing onsite setup, production, and cleanup for events as necessary.
  • Prepare nametags, materials, gift bags, registration lists, seating cards, etc.
  • Organize speaker logistics, coordination, and communications.
  • Organize post-event surveys and team postmortems.
  • Propose new ideas to improve the event planning and implementation process.
  • Provide assistance in helping research potential hotels and other venue locations

Event Administration:

  • Assist with creating pre-event budgeting and event financial analysis. Support Director of Events with budgeting process both before and after event, submitting invoices and preparing final budgets.
  • Coordinate department appointments for site visits to see venues, take meetings with vendors, schedule team meetings with the other business teams (Sales, Business Development, Marketing).
  • Take notes during event team meetings on deliverables and circulate to rest of business teams after each event.

Event Marketing:

  • Help create event-related marketing posts (using WordPress), as well as display event marketing
  • Create and send out various email blasts to VB mailing list & to attendees to promote VB events (using mail merge, Eventbrite, Mailchimp, Pardot).
  • Coordinate social media with social media manager to promote VB events
  • Assist with community events & outreach to community groups.
  • Ensure VB events are promoted across community groups
  • Coordinate with sales team to ensure all sponsor deliverables are accounted for
  • Create show powerpoint and work with AV team through production
  • Set up and maintain Bizzabo (conference app)

Qualifications:

  • 2-4 years’ event coordination experience required
  • Bachelor’s degree
  • Excellent communication skills, including writing, proofreading, and speaking, excellent interpersonal skills both in person and by phone, with high level of professionalism.
  • Ability to manage multiple projects, planning for several events simultaneously.
  • Experience working with staff, external vendors, contractors, and volunteers.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service ethic and high expectations for quality.
  • Proficient using the latest versions of Microsoft Word, Excel,
  • PowerPoint, and mail merges via gmail; familiarity with Google Docs and Box.
  • Experience with WordPress, Mailchimp, Eventbrite, Salesforce is a plus.
  • Graphic design experience (knowledge of Photoshop, Illustrator,
  • PowerPoint, Pages, and InDesign) is a plus but not required.
  • Knowledge of Bizzabo and/or other conference apps
